Quality Scientific and Mechanical Works ("Quasmo", "we", "us", or "our") operates the Hexa CRM mobile application (the "App"). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

Hexa CRM is a workplace app. It is used by organizations to manage their own business records and their own employees. Accounts are created by your employer's administrator, and your employer controls what data is entered about you and who inside your organization can see it.

1. Information We Collect

We collect the following types of information:

Account Information: Name, email address, and phone number — required to create and manage your account and to sign you in.
Location Data: Precise and approximate GPS location, captured only at the moment you punch in or out for attendance. It is used to verify that you were at a designated work site. The App does not track your location in the background or when it is closed.
Attendance Photographs: A selfie captured at punch-in and punch-out, stored alongside the attendance record as proof of presence.
Photos You Upload: Images you attach to complaints, products, and documents.
Employment Records: Designation, department, work site, shift, date of joining, date of birth, gender, marital status, blood group, address, and emergency contact details, as entered by your employer's administrator.
Government Identifiers: Where your employer records them for statutory payroll compliance — Aadhaar number, PAN, UAN (Provident Fund), and ESIC number, together with any uploaded scans of those documents.
Financial Information: Bank account number, IFSC code, and bank name, used to identify the account into which your salary is paid. The App does not process payments and never collects card details, UPI credentials, or banking passwords.
Payroll Data: Pay type and rate, hours worked, overtime, leave, statutory deductions (PF, ESI, Professional Tax), bonuses, advances, net pay, and generated payslips.
Business Data: Leads, customer details, orders, invoices, expenses, complaints, tenders, and other CRM records you enter into the App.
Device Information: Device type, operating system version, and app version, for troubleshooting and compatibility.

2. How We Use Your Information

To provide and maintain the App's CRM functionality
To verify employee attendance at designated work sites
To authenticate your identity through login credentials or OTP
To calculate wages, statutory deductions, and generate payslips
To meet your employer's statutory record-keeping obligations under Indian labour and tax law
To generate invoices, manage orders, and process business operations
To improve the App's performance and user experience

We do not use your personal information for advertising, profiling, or automated decision-making, and we do not use it to train machine-learning models.

3. Who Can See Your Data

Access inside your organization is controlled by role:

We do not sell, rent, or trade your personal information, and we do not share it with third parties for their own purposes. Data is processed by our hosting and infrastructure providers solely to operate the service on our behalf.

4. Data Storage & Security

Your data is stored on secure cloud servers. All transmission between the App and our servers is encrypted using HTTPS/TLS. Passwords are stored using one-way cryptographic hashing and are never readable by us. We apply role-based access controls so that staff and users only reach the records their role permits.

No system is perfectly secure. If a breach affects your personal data, we will notify affected users and the relevant authorities as required by law.

5. Data Retention

We retain your data for as long as your account is active. Because Hexa CRM is a workplace system, employment, attendance, and payroll records may be retained after your account is closed where your employer is legally required to keep them — under Indian labour, provident fund, and tax law this is commonly up to eight years. Records not subject to a retention obligation are deleted on request.

6. Your Rights

You have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your account and data — see Account & Data Deletion
Withdraw consent for location or camera access at any time through your device settings
Nominate another individual to exercise these rights on your behalf in the event of your death or incapacity
Raise a grievance with us — see Grievance Redressal below

Because your employer is the controller of your employment records, some requests — particularly corrections to attendance or payroll — will be referred to your organization's administrator.

Withdrawing camera or location permission will prevent attendance punching, since a punch cannot be verified without them. All other features remain usable.

7. Grievance Redressal

We acknowledge grievances within 48 hours and aim to resolve them within 30 days.

If you are not satisfied with our response, you may complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.

8. Permissions Used

Location (GPS): Read only while you are actively punching in or out, to verify you are within a designated work site. Never collected in the background.
Camera: Required for attendance selfie capture and complaint photo documentation.
Photo Library: Required for uploading existing photos to complaints, products, and documents.

9. Children's Privacy

The App is intended for business use by individuals aged 18 and above. We do not knowingly collect information from children under 18.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated revision date. Continued use of the App after changes constitutes acceptance of the updated policy.
